Putting on a show is a labour of love. But behind every great production is someone — usually unpaid, usually exhausted — holding a spreadsheet together with good intentions and group chat messages.
Availability changes. Rehearsal schedules shift. Cast members ask the same questions the answers to which are buried in a Word document nobody can find. And the production team spend more time chasing information than they do making the show good.
This is not a people problem. It is a tools problem.
We tried everything most organisations try
Before The Rehearsal Hub existed, we tried everything most organisations try. Audition forms that captured availability — then became instantly out of date. Shared spreadsheets that only one person really understood. A login page on the organisation's website that nobody remembered to check. A Google Sheet embedded in an iframe that was almost elegant, until someone needed to update it at the same time as someone else.
Each solution solved part of the problem. None of them solved the human part — the part where a cast member is at work on a Tuesday afternoon and has no idea whether they are needed that evening.
Stop asking people to come to the information. Bring the information to them.
The turning point was simple. Every cast member already carries a calendar on their phone. They already check it before booking dinner, before planning a weekend away, before telling their boss they need to leave early. If their rehearsal schedule lived there — personalised, up to date, showing only the rehearsals they are actually called for — the questions stop. The midnight spreadsheet edits stop. The group chat noise stops.
And if they can update their own availability in the same place, the production team stops being a switchboard and starts being a creative team again.
